Job Skills/Requirements

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Work closely with the Clients (Board)
  • Meet with Client at Client Locations
  • Gathering information for Budgets
  • Coordinate and direct contractors’ various client work assignments
  • Manage the administrative function of PMG, including but not limited to:
  • Prepare collection letters
  • Work with attorneys on collections and property liens
  • Monthly Financials
  • Assigning and managing work of staff members
  • Follow-up on Written Correspondence
  • Maintain and update mailing and client list
  • Research special order requests
  • Produce monthly Management Reports
  • Engage, contract, supervise and approve invoices for all goods/services required to maintain the properties up to company and client standards
  • Manage the day-to-day activities of maintenance, landscaping and snow removal
  • Manage Contractors
  • Manage all contractor-related services
  • Assist with specifications for bidding
  • Finalizing bid and communicate with developer on awarding contracts
  • Communicate with contractors (daily basis)
  • Coordinate contractor activities
  • Represent Client at meeting of contractors
  • Assist Homeowners
  • Addressing complaints and resolving problems
  • Verbal and written communications with homeowners
  • Approvals
  • Assist them with warranty work
  • Periodic property inspection
  • Meet with homeowners when requested
  • Manage and coordinate requests for repairs and maintenance, understanding of home owner concerns
  • Meetings
  • Board of Director Meetings (Monthly or less frequent)
  • Neighborhood Meetings
  • Communications
  • Quarterly Newsletters for each Neighborhood
  • Create and implement report formats, document spreadsheets

KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledgeable of Association Documents
  • Keep Client Board of Directors and Paragon Management aware of potential problems
  • Working knowledge of general accounting principles
  • Excellent communication skills (written and oral)
  • Ability to work with diverse client base
  • Effectively manage the workflow for maximum efficiency and productivity
  • Strong organizational skills and expertise in multi-tasking;
  • Knowledge of operational protocol
  • Excellent software knowledge, preferably in Microsoft Office Products

EDUCATION:

  • Minimum high school education with some college coursework desirable
  • Prior CAI Training preferred

EXPERIENCE:

  • 3-5 years business experience, preferably includes Customer Service
  • Experience working in an individual or team environment
  • Experience working in cross-functional roles

Salary: $40,000.00 to $50,000.00 /year
