Summary of Functions:


This position is responsible for the dispatch function, coordinating with drivers, shipping, receiving and delivery truck services. Under direction, assists with the scheduling and routing of equipment deliveries; receives, logs and timely dispatches equipment and drivers for jobsite deliveries/pick-ups. Some Counter Person responsibilities expected. This is a non-exempt level position.

Essential Duties and Responsibilities:

Dispatch:

  • Dispatch drivers throughout local City areas
  • Work closely with sales staff in scheduling deliveries and pick ups of equipment
  • Answer incoming phone calls and provide excellent customer support
  • Work with service department to keep trucks maintained
  • Assign drivers deliveries according to delivery time.
  • Dispatch oversized loads to out hauling companies.
  • Communicate with customers/salesmen if delivery will be late, or specific drop off instructions.
  • Communicate with stores about equipment in dispatch, but not assigned unit numbers, trying to be proactive on deliveries.
  • Communicate with stores for instructions when equipment to be delivered has problems.
  • Assign field service technicians to field repairs according to urgency and communicate with customers on what time the tech will arrive.
  • Assign drivers pick up’s according to need of more deliveries/location/age of off rent /need of equipment type
  • Communicate with customers on location of off-rented equipment.
  • Maintain accurate record of driver logs
  • Maintain accurate record of driver DVIR / making sure trucks are safe and maintained / repaired when needed
  • Communicate with repair shops on repairs. Send in estimates for approval / request P.O. from owning store/issue P.O. to repair shop.
  • Make sure all trucks remain legal/State inspection/DOT ready
  • Make sure all drivers take at least a 30 minute lunch per 8 hour shift.
  • Help transfer equipment between cities and communicate with other dispatch managers
  • Keep drivers operational radio’s
  • Assign on call for drivers and field service techs. Reassign when schedules change.
  • Keep up with vacation requests/plan accordingly
  • Manage overtime/Maintain 72 hr pick up’s or less

Counter:

  • Assist our valued customers and outside sales representatives.
  • Process cash, check, and credit card transactions
  • Verification of identity of check and credit card customers
  • Accurately open/close rental contracts
  • Maintain logs of available and down equipment
  • Credit Memos/Discounts
  • Maintain call in phone logs and lost and/or stolen rental logs
  • Coordinate pick-up and delivery of equipment
  • Rates and all ancillary charges
  • Filing, data entry, and retrieval of documents
  • Work effectively with Sales department
  • Other duties or tasks may be assigned on an as-needed basis

Organizational Relationships:


An employee of this position will communicate with the Branch Operations Manager almost daily. More frequently, communication with the counter, sales personnel and Class A,B & C drivers repeatedly throughout their shift. Occasionally, a dispatcher may need to contact the service department for follow up on equipment availability and may need to correspond with customers with information pertaining to late deliveries, scheduling conflicts, paperwork errors, etc.

Qualifications:

  • Must have a positive attitude and be able to handle changes and make quick sound decisions
  • Prefer experience in the rental industry.
  • Knowledge of rental equipment.
  • Knowledge of DOT Laws and regulation.
  • Computer Literacy, knowledge of word and excel.
  • Excellent customer service. Able to communicate and interact in a positive and professional manner.

Physical Demands:


Able to lift, push, or pull 50lbs, bend, stoop, squat, reach, kneel, use hands to finger, handle, or feel; and talk and hear. Sit and stand for long periods of time. It will be a necessity use computers, keyboards, multi-line telephones, e-mail and other technology extensively in their work. Specific vision abilities required by this job include close vision.

Work Environment:


While performing the duties of this job, the employee regularly works in a clean and well lit area with inside environmental conditions. The noise level in the work environment is usually moderate. There will be a substantial amount of incoming calls and walk through traffic from co-workers which, as a result, will present interruptions in daily tasks throughout the day.
