Senior Management Administrative Assistant / Office Manager will assist the Executive and Senior Team in the Falmouth Office. This position will report directly into the Vice President and General Manager of Infrastructure. Along with responsibilities listed below, this position is responsible for organizing and coordinating office operations, procedures, and resources to ensure organizational effectiveness and efficiency.
Job Responsibilities:
- Portray a positive, professional image to senior management, the public, clients, and team members; maintain a professional Cianbro office environment.
- Prepare reports, meeting minutes, memos, letters, statements and other documents, using word processing, spreadsheet, database, or presentation software.
- Manage all aspects related to operation of the office (calls, calendar, appointments, travel, etc.)
- Organize and assist in planning meetings, events, and hosting client visits – internal/external.
- Provide administrative assistance as directed, including scheduling, correspondence, and communication.
- Manage a wide variety of specialized projects as determined appropriate. Complete assignments by establishing objectives; determining priorities, managing time, gaining cooperation of others; monitoring progress; problem solving; making adjustments to plans.
- Provide daily administrative support of office supplies and budget.
- Assist with the coordination of training programs.
- Maintain strict confidentiality regarding business sensitive information.
- Plan and implement office systems and layout
Qualifications / Requirements:
- The ideal candidate will have a minimum of a 2-year business degree and/or a minimum of 5 years’ experience in a professional office environment or equivalent combinations of training and related experience.
- Exceptional writing, problem solving and personal communication skills essential.
- Must be proficient with Word, Excel, Outlook and PowerPoint.
- Advanced administrative and organizational skills.
- Must be a self-confident, self-starter with the ability to multi-task and communicate effectively with team members at all levels of the company.
- Candidate must be flexible with work hours.
- Discretion, a high level of professionalism, strong attention to detail, the ability to effectively multi-task are essential.
- Knowledge of Concur Travel Program or similar experience with booking corporate travel.
- Travel: This position will require some minimal travel as needed to support the VPGM.
