Responsible for providing exceptional customer service to patients while performing a variety of front office functions including patient check-in, check-out, and time of service collection.
Hours: M-F, 8-4:30
ESSENTIAL FUNCTIONS
1. Welcomes and greets patients to the practice in a professional, caring manner.
2. Initiates the check-in/check-out process. Reviews patient chart to determine what registration information is needed from the patient at the time of check-in. Ensures patient records are accurate and up to date, including patient name, address, date of injury, payer information, etc., by verifying existing information and/or entering updated patient information into the electronic medical record.
3. Scans medical documentation into electronic health record as needed.
4. Performs and verifies insurance eligibility on patients to ensure accurate billing.
5. Collects co-pays and past-due balances at the time of service. Completes daily time of service payment reconciliation.
6. Communicates patient arrival to clinic staff and works with clinic to ensure that wait times are minimized, when possible, ensuring patient is informed and comfortable.
7. Maintains cleanliness and order in patient waiting areas.
PRIMARY RESPONSIBILITIES
- Collaborates with Clinical and Patient Accounts staff to answer patient questions and concerns.
- Communicates effectively with patients, families, providers, staff, and others.
- Strives to maintain positive patient relations by handling problems and complaints in a professional, courteous and confidential manner.
- Provides coverage throughout clinic areas, when needed.
- Attend meetings, as assigned, and participates in educational activities to keep skills up to date.
- Works on special projects, as requested.
- Demonstrates professionalism at all times.
- Displays cooperative behavior and interacts positively and effectively with others to promote a team environment.
- Performs other duties necessary to maintain the overall efficiency and continuity of the clinic.
- Is proactive in identifying, reporting, and participating in the resolution of any potential or actual patient safety issues.
- Opens and distributes daily mail.
- May perform basic charge-entry functions, when necessary.
QUALIFICATIONS
- High school diploma or equivalent.
- Prior experience in a medical office environment is preferred.
- Strong customer service skills.
- Excellent communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Ability to work independently and as a member of a team.
- Proficient computer skills.
- Ability to maintain confidentiality.
PHYSICAL DEMANDS / WORK ENVIRONMENT
- Operation of various office equipment; fax machine, telephone & voice mail system, stationary/lap top computer, scanner, e-mail system, cell phone, pager, and copier.
- Light lifting of paperwork, folders, or other general record keeping materials.
- Lifting of mail bins and boxes up to 50 lbs.
- May be required to sit or stand for extended periods of time.
