JOB DESCRIPTION:
The Office Manager assists the EVFAC Team in the continued expansion of EspaƱola Valley Fiber Arts Center (EVFAC) as the primary center for fiber arts in Northern New Mexico with local and national impact. This position provides a unique opportunity to work at a premier cultural institution, alongside the EVFAC Staff to strengthen the organization for the future. While this position works with the EVFAC team and Board, this position reports to the Executive Director. The Office Manager will manage the financial and administrative operations.
Financial Management
- Processes invoices and payments for the Bookkeeper
- Oversees weekly deposit with the Bookkeeper
- Assist on setting priorities for weekly payment.
- Maintains weekly reserve/restricted funds management and files
- Monthly tracking of revenue centers income and expense
- Conducts audits of the chart of accounts monthly to maintain a correct Balance Sheet and Profit & Loss statement-
- Assists ED and Board with preparations for monthly Board meetings
- Maintains and develops grant management and tracking
- Maintains and develops event and project based financial tracking
- Works with ED, Board and Bookkeeper to create and track the annual budget
- Works with CPA to ensure a correct and timely 990 and other annual filings
- Working with the Bookkeeper to create invoices when needed.
- Provides financial reports for grants, the Board or others as needed
Administration
- Provides guidance and administrative support for the ED and Board
- Assist in hiring and correct filing of all contracts and documents
- Administers all insurance coverage for EVFAC and EVFAC events
- Executes NTTCs as needed
- Maintains the Google Suite Admin functions as needed
- Organizes and files physical and electronic documents regularly
Skills Required
- Financial background (nonprofit experience preferred)
- Complete proficiency in Excel and Word
- Familiarity with QuickBooks in order to pull reports
- Ability to understand and explain financial documents
- Attention to detail and organizational proficiency
- Demonstrated ability to interact effectively and tactfully with a diverse group of Board, staff, and community members
- Ability to multitask and prioritize independently
- Excellent written and spoken English
Education
- High School diploma or equivalent required
- Undergraduate degree preferred
